Setting up Your Company Computer

Welcome! This guide will lead you step-by-step through the initial setup of your new company computer. Please follow the instructions carefully to ensure your device is correctly configured for the productive work environment.

1. Computer Preparation (Duration: approx. 0-3 minutes)

  1. 1.1. Turn on the computer
    Switch on your computer to begin the setup process.
  2. 1.2. Select language, region, and keyboard layout
    • German/English devices: Select the default language and your region.
    • Spanish devices: Start the setup in English for now. We will change the language later. Please select the correct region and keyboard layout here.
  3. 1.3. Connect to Wi-Fi
    Connect to your Wi-Fi network and activate the "Connect automatically" option.
  4. 1.4. Wait for the restart
    Your computer will now restart automatically. Please wait for the process to complete.

2. After the First Restart (Duration: approx. 3-15 minutes)

An automatic restart occurs. Wait until the password entry appears.

  1. 2.1. Wait for the password prompt
    After the automatic restart, wait for the password entry screen to appear.
  2. 2.2. Change password
    You will be prompted to change your password. Please remember this password well, as it will be your Microsoft 365 account password from now on.
  3. 2.3. Set up the Authenticator app
    • Open the Microsoft Authenticator app on your mobile phone.
    • Select "Add work or school account".
    • Scan the QR code displayed on the computer screen.
    • Click "Next" on the computer.
    • Enter the number displayed on the computer screen into your Authenticator app.
    • Confirm the login in the app.
  4. 2.4. Wait for device setup
    The setup process goes through several phases. Please do not change anything and wait for the respective confirmations.
    • Device preparation: Takes about 3 minutes and is completed with a green check mark.
    • Device setup: Takes about 3-5 minutes and is also marked with a green check mark.
    • Account setup: This step takes the longest. Stay near the device and wait for the prompt to set up face recognition. (If nothing happens, see the troubleshooting section).
  5. 2.5. Set up Windows Hello
    • Face recognition: You can skip this step.
    • Authenticator approval: Open your Authenticator app again and approve the setup.
    • Set up PIN: Set up a PIN for Windows login. The PIN must contain at least 6 digits.

We've accomplished the most difficult part. Now comes the enjoyable part.

3. Windows Configuration (Duration: approx. 15-30 minutes)

After successful login, you will see your Windows desktop. The device is not yet fully ready for productive use. Updates and important software are now being installed in the background. Please follow the next steps for an optimal user experience.

3.1. Open Windows Settings

Navigate to the following menu items and adjust the settings to your needs:

🖥️ Display Settings

  • Adjust scaling and screen resolution.
  • Additional display options can be configured here in detail.

🔗 Bluetooth and Devices

  • Set up external devices like keyboard, mouse, headphones, or local printers.

🎨 Personalization

  • Use the time to customize the appearance of your desktop.

🕐 Time and Language

  • Set the correct time zone under Time.
  • Under "Language & region," select your preferred display language and keyboard layout. After selecting the language, perform a sign-out (logout) only, not a restart!

Windows Update is performed in the background and can take several hours. Continue working as usual with the following steps.

Wait with a restart until all updates have been completed and you are prompted to restart.

📱 Microsoft Company Portal

  • Use the App Store to install your favorite software.
  • Install a PDF editor if needed, for example.

🌐 Microsoft Edge

  1. Start Edge and follow the on-screen prompts.
  2. Login with your company account.
  3. Close all windows and start Edge again.
  4. Open your Microsoft Account and check your account settings.
  5. Language and time zone - https://myaccount.microsoft.com/settingsandprivacy/language
  6. Import your passwords or favorites as needed.

📧 Microsoft Outlook

  1. Start Outlook.
  2. Wait for the account setup to complete. In Outlook settings under Calendar, set up your working hours and calendar options. These also affect the Teams calendar.
  3. All Office applications will now be linked to your account, which can take up to 3 minutes.
  4. Send an email to your @greencells.com address and check your Greencells Development signature, which is automatically added after sending.
  5. Please contact your IT Support for necessary corrections and adjustments.

📁 Microsoft OneDrive

  1. Start OneDrive and check your files.
  2. Check your OneDrive settings.
  3. Your data on the desktop, in the Documents and Pictures folders on your computer are now synchronized with your OneDrive.

📝 Microsoft Word

  1. Start Word.
  2. Define the default language.
  3. You can set up a new dictionary or import existing ones.
  4. If it doesn't work at this moment, simply try again in 15 minutes and use other programs.

👥 Microsoft Teams

  1. Start Teams.
  2. Check your Teams settings.
  3. Check the audio and video settings, as well as your working hours and time zone.

Break Time: Minutes 30 to 60

Wait until all settings and updates are completed in the background. You've made it. A well-deserved break. In about 30 minutes, your computer will be fully operational.

You can already do some things with the computer:

  • You can set up the fingerprint sensor.
  • You can import passwords from the old system.

⚠️ Important Notice About the Deadline

Please do not work in the old environment after July 25, 2025 at 6 PM.

  • All changes in OneDrive and SharePoint Sites made after July 25, 2025 at 6 PM in the Greencells.com environment will no longer be synchronized with the Greencells Development environment.
  • Emails will still be forwarded for 6 months from @greencells.com to @gc.dev. Please inform your business partners about your new email address.
